Agenda Items above itemized

Jon – We need to clarify election process. We have a financial review regarding freshbooks and autopay We have to re-solidify end of month party We have breakdown of how we communicate Should we reduce member meetings (less frequent?) Question regarding membership Mini Maker fair soldering class Vote about hackbat logo Regarding how the board meets to discuss secret stuff (privacy)

Beginning with the financial stuff... Martin – This will definitely go over, is OK with all? Mandie – People who aren't members speek up too Several guests – go on, whatever you like. Zach - We are on online invention store, we want to work with you.j We are donating $20 gift certificates, they can be stacked. It's a $2000 gift I heard you have a laser cutter: We have many colors of acryllic I did have one question, we are thinking about a prize for the first hackerspace We are looking for an open-source machine to do filament extrusion from pellets We think the prize will be a The filament from resin pellets is too expensive, we want it to be more efficient If you could make raw white resin, you could mix it on the fly with colorations we make. Martin – Inventibles is a source for raw materials for inventors, for the member-only list we will shortly post unique codes to our members and distribute the certs Thanks so much! All – Yay, byeeeee Martin – Financial review, there is some confusion of process. Freshbooks is working, but I have to manually refund everyone the $5 for autopay. This reduces workload, and we prefer to do it with the freshbooks autopay. If you do your own autopay, there isn't a single way to do this, and I have to guess who the payments are for. For now, my opinion is that Freshbooks is the only way to do $5 discount for now, but later we will try to get checknet to take payments So far this month! We have about half of the incoming cash $2750 This month we billed $5000, which potentially means a great deal more cash. Joe – Anyone who left due to increase? Martin – Yes, 4, the same who said they would leave if rates went up. We are net positive on members ...at 99. We have all our accounting done, we should be able to file taxes on time. This thanks to the mighty Mert Eastment Any problems with invoicing? …. no responses

Jon – Election process When people need to step down, the election is held at the next quarterly meeting. That is March 23rd. That is the time to aim for, we need seconding and commitment Mandie – Have we any new nominations? Secretary and Vice Chair. Martin – I will read what they do.... VC will chair committees and take on the position of chair when Jon – Mike, former VC, was looking to organize committees and make sure groups fill needs Where do you think you could help? Please do. Martin – Secretary is in charge of recording notes and filing information Corp records, website, wiki, mailing list Lots of work! It's a big job.

Danny – Can you summarize legal liability for the board? Jon, Martin – None, actually. That is all on the shoulders of the entity that is the LLC.

Next item Martin - End of month Party. We had no meeting last time, this time we can celebrate 100 crazy hackers This will be your basic social hodown, we have food, music and loligagging. There will be skylarking. Jon – Do we want a DJ? Matt – grinning and pointing to his left (Matt is next to a turn table) Martin – I am going to see if we can get a TABC wet bar. This is all for fun.

Next Item Jon – Floor plan – Mandie Mandie – Yes, we have a ton of discussion going on regarding the floor plan We want to get an official collection of interest so we can plan for it. Joe – Is there a deadline? Mandie – Uh, two weeks? Two weeks, it's on the wiki under agenda item.

Jon – Good, next items all have votes. Discussion, then vote. First: mailing lists Martin – Yes, we have a lot of organization problems with people keeping track of things ATXHS – discuss, that's just everything. No hold barred, everyone everywhere ATXHS – Members-only: if you are a member, you are on the list. Internal discussion ATXHS – Announce list: That is all current members, only board broadcasts. No posts. The idea is to add that 'here is the announcement' option, and just get the word out.

Michelle – Are we renaming? Martin – I think we can do that, depends on what Google can do for us. It has been broken of late There may be a need to reinvite. If you don't want to be amidst the hubbub, you don't have to sign up Discuss: Do what you want. Digest, whatever. Members list, same deal Announce: email only. That is the only allowed setting. No digests. It's important! If you want to discuss anything really important, hit the secretary for an annnounce. Jon – Vote! All in favor? 20+ votes in favor, 15 needed.

Jon – Next, we want to organize the meeting perhaps bimonthy. It should help us focus. Michelle – I think we need to meet anyway James – I think every week getting together is fine. Once a month is all we need. If something is urgent, the board should be empowered to take action. Furthermore, quarterly meeting? We should have just another monthly meeting. Just 12 meetings a year should be alright Mandie – We don't normally have meeting this filled. I am min favor of keeping the member meeting We should have it during the open house. They work together Marshall - Weekly announcement maybe? Bimonthly is what she would try, then we Danny - Can we clarify?

Westin – Semi-monthy is twice a month, Bi-monthly is every two months Jon – We aren't saying you can't converse, we are just saying we focus the meetings. If something comes up we may hold a meeting. Martin– I second Martin's proposal. 2nd and 4th wednesday Joe – Let's make that Tuesday! Tuesday. James – I think it does not work well to have these voting meetings before the open-house Then we have new members standing around waiting. I don't think we want that pressure It is good to have all the members here welcoming new members, Joe – As a possible second vote some time in the future, perhaps we could flop the open-house and the member meeting. Open-house first. Westin – Actually, we initally had a very disciplined meetingj end. That actual end makes us under the gun. We got this done, it let us Mert – I think we should continue weekly meetings. I vote no. Evelyn – I think as a new member we should have that disciplined and bang things out. Joe – Amendment Proposal effective March first!

Vote. For: 13 – insufficient Jon – Alright, motion fails. We'll review it next week. We had some questions about leaving and returning members. Yes, go live your life. Please come back. You are welcom

Jon – Mini make faire Michelle – We have a booth in the mini maker faire this April! We need some people who are interested in selling objects for the fair We also need some people to teach soldering classes and help out with teaching Then I realized... we need something to solder! There are adorable 'learn to solder' pins with $1.25 for the group buy. Some of us think it would be really cool to make our own We are thinking $3 for the badge, $5 for the badge and teaching you how to solder We don't want to spend more than $250, but we should be less than $200 Conservative estimate was $230, but should be under $230

The proposal is to vote today.

Paul – We want to put our badges out there and do a production run. Michelle – Budget is to propose $250 budget. 100 kits at least. Martin – I would like to table this until the 11th – budget is not ready. Paul – One thing to keep in mind, we need to get things moving. Joe – Shouldn't we just vote and budget finally when we know later we have moneys? Michelle – I'm alright with waiting. There was some talk about outreach and that sort of thing. Jon – Tabling for now, discussion to continue on list Michelle – If you have questions about the mini maker faire, please talk to me.

Jon – The last one, discussion becoming, hackbat creative commons. I don't think we know what that means, so we should continue discussion That is my executive

Matt – one more thing, robot

The homeless coach is a local not for profit. We got a donation of 55 years of tobacco products paraphenalia We decided to get a tobacco museum exhibit out of this We are mapping onto Austin and Texas's history, and direction to The exhibit would contain a smoking robot. Something that would educate people We have proposed this to the austin Robotgroup. We have someone who built this sort of thing already There is an opportunity to launch something here that will run the Bob Bollock circcuit We are looking for collaborators. Not just locally, but nationally. If anyone is interested, please talk to me.

Jon – Anything else? No? Ok, sweet. We are going to be hardcore on time limits next time.
